Payment Terms & Conditions

• These payment terms and conditions govern all transactions related to the IPVS 2026 event. You must carefully check the ticket information before confirming the order and making payment.

Registration Information

Registration Information

• Registration will be finalized upon successful payment for the ticket and the subsequent provision of your ticket code via email from IPVS 2026.
• Registration Confirmation will be sent to you via e-mail after your online registration.
• Your ticket will be sent to you via email within 3 business days after IPVS receives the full payment.

Note:

• We are not responsible in case you enter the wrong email address, phone number and other personal information, resulting in not receiving the confirmation letter. Therefore, please check the information carefully before making payment. Email is only used to confirm ticket information after you have successfully booked your ticket.
• We recommend that you carefully read the information about the congress, ticket price, number of tickets, etc. before completing the confirmation of all ticket information .
• If you do not receive a confirmation email within 3 business days of your successful payment, please contact us for support. If we do not hear from you, we will consider our obligation to you fulfilled. To make sure you don’t miss our email, please remember to check your spam or junk folder. This can happen with automated emails, so we recommend you check there first before reaching out for support.

For Students

• Students are required to upload a copy of valid student ID (student card or official admission letter) including the expiry date to the registration system (acceptable file type: pdf, jpeg, jpg, png & gif).
• Registration Confirmation will be sent to you via e-mail after your online registration.

Payment Method

• Payment can be made by credit card through the registration page or by bank transfer.
• For Early Bird Registration, please complete the payment before January 31, 2026.
• For Regular Registration, please complete the payment before April 30, 2026.

*The payment deadline is within two weeks of the application deadline.

Credit Card

Acceptable credit card are VISA, Master Card, American Express.

Bank Transfer

Bank transfers can be made in either USD or VND.

• Bank Transfer Payment will be processed through Viet Nam banking systems.
• Please note that the bank account No. will be unique to each participant. Therefore, please find your bank account No. on the procedure page of your My Page and complete the payment individually.
• A bank transfer must be made in full amount without any deductions of bank charges. All bank remittance charges are to be paid by the registrants.
• Please check the remitter’s name. It must be the same as the registrant’s name.

Refund

Refund of your payment will not be conducted automatically.
If refund occurs due to the change or cancellation of your registration, please contact the Registration Desk (info@veas.com.vn ) with your name and registration No..

If payment was made by credit card, refund will be made to the same credit card.
If payment was made by bank transfer, please inform us of your bank account by email.

• Cancellation must be notified to the Registration Desk in writing by e-mail (info@veas.com.vn)
• All refund will be made after the congress.
• All bank service charge will be deducted from all congress registration refunds.

Disclaimer

Every attempt will be made to present the program as printed. However, the IPVS 2026 Congress reserves the right to alter or cancel, without prior notice, any of the arrangements, programs or other items relating directly or indirectly to the Congress, for any cause beyond its reasonable control. The IPVS 2025 Secretariat is not liable for any loss or inconvenience caused as a result of such alterations.

Insurance

Participants are advised to take care of their own travel and medical insurance and to extend their policy to cover personal possessions as the Congress does not cover individuals against cancellation of bookings or theft or damage to their belongings.
